What Is Usually Wrong

  • The same customer, order, or lead gets typed into two or three systems, and someone reconciles them by hand at the end of the week.

What I Do About It

  • Map every recurring task: who does it, how long it takes, and which systems it touches. The hand-offs between systems are where the hours go.
  • Switch on the connections you already pay for. Your store, email tool, CRM, accounting, and scheduling software mostly have the plumbing built in, and nobody has turned it on.
  • Automate the repetitive work first: order and lead routing, first-draft replies, invoice and quote follow-ups, after-hours intake, the weekly report. Measured in hours handed back, not in features.
  • Use AI where it earns its place: drafting, sorting, summarizing, and flagging. A person approves anything that touches money, a customer, or a commitment.
  • Document everything so your team runs it after I leave. The goal is not to have me on the payroll forever.

Is my data safe with AI tools?

That is the right first question, and it is settled before any AI work starts: which data goes into which tool, under which account, and what stays out, agreed in writing and signed off by you. If a tool cannot meet the terms you set, it does not get used.

What kind of tasks can be automated?
